Grove Management · Terms of use
End User License Agreement
Effective and last updated: October 17, 2026
This agreement describes the terms for using Grove Management, the internal staff application operated by Canby Grove Christian Center ("Grove", "we", or "us"). By using the application, you agree to these terms. If you cannot agree, stop using it and contact your administrator to arrange another way to submit required work records.
1. Permission to use the application
Grove grants authorized personnel a limited, non-exclusive, non-transferable permission to access the application for their assigned Grove work. Access depends on an active account and the permissions assigned to that account. This permission does not transfer ownership of the application, its branding, or underlying software.
This agreement does not change employment arrangements, reimbursement policies, or rights that cannot be waived under applicable law. An account role grants application access; it does not by itself grant authority to spend funds or make payments.
2. Your account and acceptable use
Use your own authorized account, protect your sign-in information, and report suspected misuse promptly. Access only the records you are permitted to see. Do not share accounts, bypass access controls, impersonate another employee, submit fabricated expenses or work records, disrupt the service, or use the application unlawfully.
Do not copy, resell, or redistribute the application or another person's private records without permission. Restrictions on modifying or reverse engineering the software apply only to the extent permitted by law.
3. Records, receipt text, and approvals
Submit accurate information that you are authorized to provide. Review receipt images, readable text, dates, amounts, account numbers, Locations, Classes, and memos before submission. If automatic transcription is enabled, its output is a suggestion and may contain errors; compare it with the original.
Cash reimbursement requires supporting payment evidence and an independent administrator decision under Grove's review process. Uploading a receipt, approving it, or adding it to a check queue does not establish that a payment has been made. Authorized staff must verify the accounting and payment outcome.
You or the appropriate rights holder retain ownership of submitted records. You authorize Grove and its service providers to store, process, display to authorized users, and handle those records as needed for the application and the purposes described in the Privacy Policy.
4. QuickBooks Online and other services
Only an authorized Grove administrator may connect a QuickBooks Online company. The administrator must have authority to grant access to that company and must select the correct company in Intuit's authorization process. Intuit and other providers apply their own terms and privacy policies to their services.
The current QuickBooks connection verifies company access and reads accounting lists. Receipt posting, attachment uploads, and check creation require additional integration setup and verified accounting mappings; connecting a company alone does not enable those actions. Changes to these capabilities will be described in the application and the Privacy Policy.
An administrator can revoke the connection using the QuickBooks connection page. Disconnecting does not erase Grove's source receipts, approval history, or records already held in QuickBooks.
5. Availability and review responsibilities
The application and its providers may have errors, maintenance periods, or interruptions. Report a failed save or incorrect record instead of assuming an action completed. Keep and review required source documents according to Grove's procedures.
The application supports operational record keeping and does not replace accounting, tax, legal, or payroll advice. Grove makes no guarantee of uninterrupted availability or error-free transcription. Nothing in these terms excludes protections or obligations that applicable law does not allow to be excluded.
6. Changes and ending access
Grove may update the application or these terms and may change or suspend access when work responsibilities change, an account becomes inactive, or security or misuse requires it. Updated terms will be published here with a revised date. Ending access does not automatically delete records retained for accounting, audit, employment, or legal requirements.
